Policies and Procedures
Criteria for admission into any Diploma or Registered Certificate program includes
Admission Policy
- Attend the initial interview and receive a positive recommendation from the College Director, Student Administrator, or Admissions Representative.
- Have a fair understanding of the English language.
- Prospective students must be Grade 12 graduates, or equivalent, or have Mature Student status (18 years of age in Ontario), subject to the discretion of the College Director.
- Mature Students and those unable to provide proof of Grade 12 graduation must complete an Entrance Examination to properly assess their strengths and weaknesses.
- Applicants for Technical Diplomas, Registered Certificates, and Medical Training programs will also be evaluated on specific criteria and testing, depending on the program selected.
- Students must be able to work with an individualized learning system.
- International students who are not Canadian citizens or permanent residents must obtain a Study Permit with their Visitor Visa from Citizenship and Immigration Canada.
- Applicants must read and certify that they have received and reviewed the College’s policies and procedures, including updates, inserts, and the Enrolment Application and Contract.
- Some programs may require additional entrance requirements or prerequisite courses.
Attendance
Students are required to meet attendance obligations as outlined by their funding sources and schedules. Failure to attend according to contracted hours of instruction per week may result in withdrawal from the program. Attendance records are maintained by the College and may be reviewed by sponsoring agencies.
Students may select their hours of attendance, subject to workstation availability and at the discretion of the College.
Books and Supplies
Academy of Learning Career College’s Integrated Learning System™ programs are delivered using workbooks, audio instruction, and original software. All courses are provided as complete packages with all required materials included.
All materials provided to students are protected under Copyright Law.
Credit for Previous Learning / Challenge Exams
Credit for prior education or training may be granted if a student successfully passes a challenge exam, demonstrating acceptable proficiency in specific skill areas.
Diploma / Certificate
A Diploma or Certificate will be issued to each student who successfully completes their program and meets all financial obligations to the College.
Dress Code
Academy of Learning Career College does not enforce a strict dress code; however, attire should be Business Casual. Students may be asked to dress in interview-appropriate clothing on designated days during job search courses.
Out of respect for others with allergies, students are asked to avoid using strongly scented products prior to attending the College.
Academic Progress Requirements
- Each course requires the completion of individual exams before students may proceed to the next course.
- A minimum passing percentage is prescribed by the Academy of Learning Career College.
- To graduate, students must achieve an overall program average of 75%.
- Students who achieve an average of 90% or higher will be awarded Honours status.
All marking schemes and procedures are governed by strict guidelines set by Skills Advantage Inc.
Learning Coaches
Academy of Learning Career College employs qualified Learning Coaches to facilitate student training.
Fees
All course materials are included in program fees. Payments may be made to the Academy of Learning Career College by cheque, Visa, MasterCard, or cash (as accepted locally).
Tuition fees are due and payable by the program start date unless other arrangements are made with the College and recorded in the student’s contract.
If a student is sponsored, the College requires a letter of authorization. Academic credit will not be granted until all financial obligations are met.
Preferred method of payment is e-transfer.
Holidays and Hours of Operation
The Academy of Learning Career College operates year-round and observes all statutory holidays. Some campuses may close during Christmas, New Year’s, or summer months. Students should consult their local College for specific dates and hours of operation.
Our campuses are open Monday-Friday.
Privacy
The Academy of Learning Career College collects, uses, and discloses personal information only as required to conduct business and provide ongoing student services. This information is confidential and will only be released to third parties with the student’s written authorization, or as required when students are funded by a government agency.
Refresher Privileges
Graduates are welcome to return to their College after completing their program to refresh or review course materials, provided they have passed the course and the College continues to offer the same version.
Satisfactory Progress
All students are expected to complete their program by the contractual end date.
All courses will be issued by the Learning Coaches along with a scheduled date of completion. If a student falls behind schedule, they will be expected to study for additional hours in order to get back on track to remain compliant. Failure to comply may result in withdrawal from the program.
Extensions may only be granted upon approval from the sponsoring agency or College Director, and the student must be able to provide a reasonable explanation for such a request.
To successfully complete a diploma, students must maintain and achieve an overall overage of 75% or higher.
Student progress is closely monitored, and feedback is always provided to enhance performance and to ensure compliance with the Active Participation Policy.
Accessibility Needs
Transfer Policy
Students must complete their program at the College identified in their enrolment contract. If a student wishes to transfer to another Academy of Learning Career College, they must submit a written request to their current College in advance.
Transfers are only considered if the student is in good standing and are at the sole discretion of the receiving College Director. Approval may also be required from the student’s funding agency and is subject to space availability.
Enrolment contracts are not transferable from one student to another.

Definition of Sexual Violence
Training, Reporting and Responding to Sexual Violence
(b) The complete Sexual Violence Policy shall be published and posted in the campus lunchroom. Additional copies can be provided upon request.
(c) If students, in good faith, report an incident of, or make a complaint about, sexual violence, they will not be subject to discipline or sanctions for violations of the career college’s policies relating to drug or alcohol use at the time the alleged sexual violence occurred.
(d) Students who disclose their experience of sexual violence through reporting an incident of, making a complaint about, or accessing supports and services for sexual violence, will not be asked irrelevant questions during the investigation process by the career college’s staff or investigators, including irrelevant questions relating to the student’s sexual expression or past sexual history.
(e) Any person subject to, or witnessing incidents of, or complaints of, sexual violence will report to the Campus Director, Roshni Patel, roshni.p@aolccollege.ca, +1 (905) 306-0666 upon becoming aware of them.
(f) Subject to Section 4 below, to the extent it is possible, Academy of Learning Career College, Kingston / Mississauga West, will attempt to keep all personal information of persons involved in the investigation confidential except in those circumstances where it believes an individual is at imminent risk of self-harm, or of harming another, or there are reasonable grounds to believe that others on its campus or the broader community are at risk. This will be done by:
(i) Ensuring that all complaints/reports and information gathered as a result of the complaint/reports will be only available to those who need to know for purposes of investigation, implementing safety measures and other circumstances that arise from any given case; and
(ii) Ensuring that the documentation is kept in a separate file from that of the Complainant/student or the Respondent.
(g) Academy of Learning Career College, Kingston / Mississauga West recognizes the right of the Complainant not to report an incident of or make a complaint about sexual violence or not request an investigation and not to participate in any investigation that may occur.
(h) Notwithstanding, in certain circumstances, Academy of Learning Career College, Kingston / Mississauga West, may be required by law or its internal policies to initiate an internal investigation and/or inform police without the complainant’s consent if it believes the safety of members of its campus or the broader community is at risk.
(i)In all cases, above, Academy of Learning Career College, Kingston / Mississauga West will appropriately accommodate the needs of its students affected by sexual violence. Students seeking accommodation should contact the Campus Director, Roshni Patel.
In this regard, Academy of Learning Career College, Kingston / Mississauga West, will assist students who have experienced sexual violence in obtaining counselling and medical care, and provide them with information about sexual violence supports and services available in the community as set out in Appendix 1 attached hereto. Students are not required to file a formal complaint in order to access supports and services.
Investigating Reports of Sexual Violence
(a) Under this Sexual Violence Policy, any student of Academy of Learning Career College, Kingston / Mississauga West may file a report of an incident or a complaint to the Campus Director, Roshni Patel, in writing.
(b) Upon receipt of a report of an incident or a complaint of alleged sexual violence being made, the Campus Director, Roshni Patel, will respond promptly and: (i) Determine whether an investigation should proceed and if the Complainant wishes to participate in an investigation; (ii) Determine who should conduct the investigation having regard to the seriousness of the allegation and the parties involved; (iii) Determine whether the incident should be referred immediately to the police; (iv) In such cases or where civil proceedings are commenced in respect of allegations of sexual violence, Academy of Learning Career College, Kingston / Mississauga West, may conduct its own independent investigation and make its own determination in accordance with its own policies and procedures; and
(i) Determine whether an investigation should proceed and if the Complainant wishes to participate in an investigation;
(ii) Determine who should conduct the investigation having regard to the seriousness of the allegation and the parties involved;
(iv) In such cases or where civil proceedings are commenced in respect of allegations of sexual violence, Academy of Learning Career College, Kingston / Mississauga West, may conduct its own independent investigation and make its own determination in accordance with its own policies and procedures; and
(v) Determine what interim measures ought to be put in place pending the investigation process such as removal of the Respondent or seeking alternate methods of providing necessary course studies.
(c) Once an investigation is initiated, the following will occur:
(i) The Complainant and the Respondent will be advised that they may ask another person to be present throughout the investigation;
(ii) Interviewing the Complainant to ensure a complete understanding of the allegation and gathering additional information that may not have been included in the written complaint such as the date and time of the incident, the persons involved, the names of any person who witnessed the incident and a complete description of what occurred;
(iii) Informing and interviewing the Respondent of the complaint, providing details of the allegations and giving the Respondent an opportunity to respond to those allegations and to provide any witnesses the Respondent feels are essential to the investigation;
(iv) Interviewing any person involved or who has, or may have, knowledge of the incident and any identified witnesses;
(v) Providing reasonable updates to the Complainant and the Respondent about the status of the investigation; and
(vi) Following the investigation, the Campus Director, Roshni Patel, will:
– Review all of the evidence collected during the investigation;
– Determine whether sexual violence occurred; and if so Determine what disciplinary action, if any, should be taken as set out in the section below.
Disciplinary Measures
- Disciplinary action up to and including termination of employment of instructors or staff; or
- Expulsion of a student; and /or
- The placement of certain restrictions on the Respondent’s ability to access certain premises or facilities; and/or
- Any other actions that may be appropriate in the circumstances.
Appeal
Making False Statements
(b) Individuals who violate the Sexual Violence Policy are subject to disciplinary and/or corrective action, up to and including termination of employment of instructors or staff or expulsion of a student.
Reprisal
(a) It is a violation of this Sexual Violence Policy to retaliate or threaten to retaliate against a complainant who has brought forward a complaint of sexual violence, provided information related to a complaint, or otherwise been involved in the complaint investigation process.
(b) Individuals who violate the Sexual Violence Policy are subject to disciplinary and/or corrective action, up to and including termination of employment of instructors or staff or expulsion of a student.
Review
(a) Academy of Learning Career College, Kingston / Mississauga West shall ensure that student input is considered in the development of its Sexual Violence Policy and every time it is reviewed or amended.
(b) Academy of Learning Career College, Kingston / Mississauga West shall review its Sexual Violence Policy 3 years after it is first implemented and amend it where appropriate. The date of this revision is July 17, 2024.
Collection of Student Data
(a) Academy of Learning Career College, Kingston / Mississauga West shall collect and be prepared to provide upon request by the Superintendent of Career Colleges such data and information as required according to Subsections 32. 1 (8), (9), (10) and (11) of Schedule 5 of the Ontario Career Colleges Act, 2005 as amended.
